Refund Policy
How cancellations, transfers and refunds are handled for registrations, sponsorship payments and donations made through this website.
Refund and Cancellation policy
This policy applies to every event pass and membership purchased through thebengaldialogue.com, and — as set out in “Sponsorship packages and donations” below — to sponsorship packages and donations paid for through it. Registrations are sold by Fractals Global Services (“we”, “us”), which operates this website on behalf of the Universal Society for Human Advancement (USHA). By completing a payment you accept the terms below.
All registrations are non-refundable once payment is confirmed. This applies to event passes and to memberships alike. The costs of the conference — venue, halls, catering and programme — are committed well in advance of the event and are not reduced when an individual registration goes unused.
Instead of a refund, you may transfer your registration to someone else at no charge. See “Transferring your registration” below. We would always rather your place was used than left empty.
Duplicate and erroneous payments are refunded in full. If you were charged twice for the same registration, or charged an amount that does not correspond to any registration, write to us with the payment reference and we will return it. This is not an exception to the clause above — no service was ever sold for that money.
A payment that fails or is never completed is not a charge by us. Where a bank has placed a hold on your funds for an incomplete payment, that hold is released by your bank, normally within five to seven working days. If it is not, send us the payment reference and we will raise it with our payment provider.
Nothing in this policy limits any right you have under applicable law that cannot be excluded by agreement.
Transferring your registration
A registration is held in the name of the person or organisation that made it, but it is not locked to them. If you cannot attend, send someone in your place.
Requests to transfer must reach us in writing at least seven days before the first day of the conference. After that point the delegate list, badges and catering numbers are fixed with the venue and we cannot make changes.
Email us from the address used for the registration, quoting the payment reference shown on your confirmation, and give the substitute’s full name, designation, mobile number and email address.
The substitute must qualify for the same category of registration. A Student Pass may only be transferred to another currently enrolled student, and valid proof of enrolment is required for the new delegate in the same way it was for the first.
One transfer per registration. A transferred registration cannot be transferred again, and cannot be converted back into a refund.
Guest passes and complimentary passes included with a membership may be assigned to any guest, at any time before the event, by telling us who is using them.
If we change or cancel the event
The commitments in this section are ours, not yours. They apply when the change is made by us rather than by you.
If the conference is cancelled outright and not rescheduled, every registration is refunded in full.
If the conference is postponed, your registration carries over to the new dates automatically and you need do nothing. If the new dates do not suit you, you may instead ask for a full refund, provided you do so within fourteen days of our announcing them.
If the venue changes within Kolkata, or a session moves between halls or between the two days, your registration stands and no refund arises. We will tell you the current programme before the event.
The programme and the list of speakers are indicative and subject to change. Speakers may withdraw, and sessions may be added, combined or dropped. Such changes are not grounds for a refund, and no registration is sold on the basis of any one speaker’s attendance.
We are not liable for your travel, accommodation or other costs of attending, however the event changes. Please take that into account when booking.
Sponsorship packages and donations
A sponsorship package — an exhibition stall, a brand collaboration or a sponsorship tier — paid for through this website is confirmed on payment and is non-refundable, on the same footing as a registration. Once confirmed, the package is delivered on the terms agreed with the sponsorship team. If the conference is cancelled outright and not rescheduled, the payment is refunded in full; if it is postponed, the package carries over to the new dates.
A donation is a voluntary contribution made without anything being supplied in return. It is not refundable once made. A duplicate or erroneous donation — the same contribution charged twice, or an amount you did not intend — is refunded in full on the same basis as any other duplicate payment: write to us with the payment reference.
Nothing on this website should be read as a statement about the tax treatment of a donation. If you need a receipt in your name, give us your PAN and address when you contribute, and we will issue one.
How refunds are paid
Where a refund is due under this policy, it is returned to the original payment method through our payment provider, Razorpay. We cannot redirect a refund to a different card, account or person.
Approved refunds are initiated within three working days. The money normally reaches you five to seven working days after that, though the final timing is set by your bank or card issuer rather than by us.
A refund returns the full amount you actually paid, including any taxes charged on it. Payment gateway charges are not deducted from your refund.
Delivery of your registration
Nothing is posted or couriered. Everything you buy here is delivered electronically to the email address you give at registration, so please make sure it is correct and can receive mail from us.
Confirmation of payment is sent by email as soon as the payment succeeds. Keep it — the payment reference in it is what identifies your registration in every query below.
If no confirmation reaches you within two working days of paying, check your spam folder first and then write to us quoting the payment reference shown on screen at the time. A missing email does not mean a missing registration; your payment is recorded either way.
Details of entry, timings and the final programme are sent to the same address in the run-up to the conference.
Contacting us about a registration
For anything in this policy — a transfer, a duplicate payment, a confirmation that never arrived — write to us and quote your payment reference. It is the fastest way for us to find your registration.
